How each capability works for managers

Follow the path — what each capability is, and how managers use it.

01

Shift Screen Recording

Full-desktop capture during allowed shifts; 1-hour chunks; background upload; auto-stop rules.

How managers use it

  • 01You schedule shifts (fixed or anytime). Staff press Start when they are on an allowed shift.
  • 02Recording is blocked without an active shift, remaining quota, live subscription, or Drive connection.
  • 03Sessions split into chunks so upload continues while recording. Auto-stop on shift end, quota, or screen lock.

02

Attendance & Reports

Attendance is calculated directly from recordings.

How managers use it

  • 01Not a separate manual log — attendance is built from the recordings.
  • 02See recorded time vs shift hours, overtime, and present/absent status.
  • 03Open the recording beside attendance to confirm work and hours. Delete a recording and attendance recalculates.

03

Team Management

Invite staff as Employee, Manager, or Agency Admin; roles and permissions.

How managers use it

  • 01Invite with a link, assign a role, and they can record on their first allowed shift.
  • 02Employees see only their data. Managers see the team. Agency Admins control billing, Drive, and invites.
04

Notifications

In-app alerts for upload failures, Drive disconnects, invites, and more.

How managers use it

  • 01Problems surface in the dashboard notification bell so you can fix them before a client or payroll deadline.
05

Google Drive Backup

Auto-upload to the agency's Google Drive (StaffRecorder / Recordings).

How managers use it

  • 01Recordings live in folders you control — share or open in Drive for clients or auditors.
  • 02Only Agency Admins can connect or disconnect Drive. Storage stays with your Google Workspace account.

06

Role-Based Security

Employee, Manager, and Agency Admin see only what they should.

How managers use it

  • 01Employees see only their activity. Managers see the team but cannot connect or disconnect Drive.
  • 02Agency Admins have full access including billing and Drive. Sensitive shift recordings stay isolated.
FAQ

Features FAQ

Straight answers about recordings, attendance, Drive ownership, and roles.

Answer

Attendance is calculated from the recordings. Open the attendance view for a person or period, then open the matching recording. Confirm hours and review work. Deleting a recording recalculates attendance.

Answer

Uploads are resumable and chunked. Staff can retry failed jobs from the uploads panel. Managers still receive the session once the connection is restored and upload completes.

Answer

Your agency. Files are stored in the Google Drive account you connect. Staff Recorder does not keep a permanent copy outside your Drive — only metadata such as staff, shift, timestamps, duration, and Drive file id.

Answer

Recording is blocked until Drive is connected again or space is freed. Staff see a message in the desktop app, and the agency admin is notified. If Drive’s quota API itself fails, recording is still allowed so a network glitch does not stop a shift.

Answer

Yes. Employees see only their data; managers see the team; Agency Admins have full access. Only Agency Admins can connect or disconnect Google Drive.

Answer

No. Recording is only allowed during an active shift (or anytime shift) with remaining quota. Staff start the session; the app enforces the rules and can auto-stop.

Answer

Video only (no audio). Full desktop capture, not a single window. Recording during scheduled or anytime shifts; agencies can also allow recording with no shift (first 8 hours regular, then overtime). Unsigned installers (macOS Gatekeeper / Windows SmartScreen on first run). Linux is not supported. Failed uploads need Retry in the desktop uploads panel. A force-update can block Start until staff install the latest build. By default the app auto-stops on screen lock or display off unless the agency enables keep-recording-when-idle.
